Registration on Supplier / Vendor database

TO ALL SUPPLIERS SEEKING REGISTRATION AS AN APPROVED SUPPLIER ON THE SUPPLIER DATABASE OF NAMA KHOI MUNICIPALITY

All current and prospective vendors/ suppliers are hereby invited to register as an approved vendor on the supplier database of Nama Khoi Municipality.  In order to comply with section 11 of the MFMA and the Supply Chain Management Regulations      (Gov Gazette Notice No. 868 of 2005) Nama Khoi Municipality developed a supplier database to be used by the SCM department in all procurement and acquisition initiatives.

In procuring goods or services for the Municipality, our department follows a fair, equitable, transparent and cost-effective process that is prescribed by the Constitution of RSA.

For goods and services below the value of R200 000, requests for quotations (RFQs) are published on the Municipality’s website. Please visit this site regularly should you wish to read them.  Preference will be given to registered suppliers but it does not necessarily follow that suppliers who are not yet registered will be totally exempted from quoting for the supplying of goods and services to Nama Khoi Municipality. It is envisaged that this database will contribute to effective and efficient administration and compliance with the appropriate legislation.

We obtain goods and services to the value of R200 000 and above via a formal bidding process. Bids are advertised in local newspapers, including ’The Namakwalander’, Die Plattelander, ‘Die Gemsbok’, ‘Die Burger’ and can also be viewed on the website.

The Municipality has not implemented BBBEE due to the current conflict with the PPPFA. Like all other local authorities, we are waiting until 07 December 2011, the effective implementation date for the Procurement Regulations 2011. We therefore use HDI% scoring and issue points according to the HDI ownership within the company. It is therefore essential that all applicants include a BBBEE verification certificate or letter from Auditor or Accounting Officer with their application. This will form part of our vendor’s database detail.

To enter into a business arrangement with us, please register on our vendor database by completing our application form. It is imperative that suppliers read the application document carefully, complete it in full and sign it. The turnaround time for each application is two weeks (2) and a registration certificate will be forwarded to the supplier on registration.

A non – refundable fee of R 33.75 (VAT Inclusive) is payable before any form can be obtained in hard copy from the Municipality. Payments can be made electronically or paid at the cashier’s office of Nama Khoi Municipality.
